Let us explain: How can you ensure that you have a perfectly memorable and stress-free day?

Hire a Day-of Wedding Coordinator.

This way you do not have to worry about any issues coming up nor finding answers to important questions the day-of coordinator’s job is to take care of everything so your mind can be at ease.

What is a Day-of Wedding Coordinator?

As the Day-of Wedding Coordinator, we will coordinate everything to ensure all is going smoothly and according to your plans and vision for you ALL DAY LONG. Our sole purpose is to understand precisely the dream wedding that you want for you special day.

We oversee the schedule for the day! We will be the invisible and invaluable asset for all activities throughout the day. We will do all the rushing around that no-one else wants to do, making sure that you, your family, and guests are relaxed and happy. We will meet with you before the wedding, attend your rehearsal and will get to know who your people are, guests, vendors, etc.

As your Day-of Wedding Coordinator we must understand your venue, collaborating their requirements with your needs and conduct all communications with the venue managers coordinator for the wedding day itself.

Now you might be thinking – “That’s OK; I already have a Venue Coordinator !”

Oops! What is that you say? A Venue Coordinator ?

Do not be alarmed; you are not the first (and probably not the last) to get this a little confused! But it is important that the confusion is cleared up, quickly.

“Huh?”

When you selected your venue, you may have been informed that along with the venue you get to use a venue coordinator that they provide. Maybe you thought ‘oh, how nice!’. But an important thing to understand is that a venue coordinator ” does not coordinate your wedding .

Although, a venue coordinator organizes the venue and manages everything that goes with it i.e., the tables, chairs and anything venue related – this person does not have the answers to all your questions regarding the day’s wedding activities, decorations, guests, vendors, or anything related to the uniqueness of your wedding.

A venue coordinator only knows venue-specific items like where the electric outlets are, what types of seating arrangements are possible, do they have an extra table you can use, which way is the parking lot, etc.

A lot of brides make the mistake of taking the package that includes a venue coordinator and then sadly, realize that they had this confused with an individual who runs the whole shebang.

And then, there is CHAOS & STRESS!!

Because who will coordinate and check on all those tedious little details that make the day perfect? Who will find everyone for photos, let everyone know when it is time for the toast, cake cutting, etc?

The venue coordinator certainly does not need any more responsibility than the job that he or she already has with regards to the entire operation of the venue. The venue coordinator does not stay the entire length of the reception.

The venue coordinator only has an obligation to the entity that employs them – THE VENUE.

What should you do? Not all is lost!

This is where Traudlinde’s Wedding and Event Planning is prepared to help and has a keen eye for the little, yet critical details that make your day, yours! We will make sure the tables are in the right locations and with the right guests sitting in the correct places. Making sure that the DJ has the right names, that the music is taken care of; and the flowers are perfect; that the vendors are properly positioned; and that the food is as you asked for. These are just a few of the responsibilities that are the main priorities for us day-of coordinator.

Hiring the correct planner can take the stress from everyone (who should be enjoying or focusing on their own roles) is absolutely a smart move.

This is what a Day-of Wedding Coordinator is paid to do: WORK FOR YOU.

No worries… Couples make this error frequently.

Thinking or assuming that the venue coordinator is the same as the day-of wedding coordinator – when the reality is that these people are two separate individuals with two equally large separate responsibilities and jobs!

While you’ve probably been daydreaming about a bridal gown, finding the right venue is actually the first step to successful wedding planning. Your venue, along with the season and time of day, set the tone for virtually everything. Your venue provides a backdrop for your theme and décor. Your dress style will likely be influenced by it, along with your florals and perhaps even the cake and invitations. Be sure to ask your venue manager for referrals – they love working with wedding pros who are at the property regularly. Since Saturdays are a limited commodity and some dates (like the recent 08/18/18) are extremely popular, you’ll find time of year can impact a venue’s price. Those May and October Saturdays are going to be more popular than January or March. Evening affairs typically cost more than afternoon. If your guest list logistics work, consider a Sunday or Friday wedding for savings. Popular venues and dates book early – it’s not unusual to reserve an October wedding 16-18 months out. But you can plan a great wedding in less than six months and venues often offer discounts on “last-minute” bookings. Your guest list is going to factor into your venue selection. You don’t need a firm count, but you should have a pretty good idea of the number of guests you wish to entertain. And keep your expectations in line with your wallet. Come up with an idea of how much you want to spend on this one piece of the wedding day puzzle and do your research before touring. If budget is your motivating factor, look at venues in two categories – those that offer food and beverage and those that don’t. Often those with in-house food and beverage will discount or waive the room fee. Good examples of these all-inclusive venues are hotel ballrooms and golf/country clubs. Here you will find ambiance, professional staffing, and quality standards. Your tables, chairs, linens, and service ware are part of the package, eliminating the need for rentals. Once you’ve selected your venue, it’s a great time to interview event planners/coordinators. A professional coordinator will successfully execute your vision and head up your team of wedding pros, ensuring a stress-free day.
